Sample workflow for an estate agency: a portal request is matched to the property, a viewing is offered and the contact filed in the CRM. Names and values are fictional.
01The problem
Leads come in fast, answers come in slow.
A real estate AI agent answers buyers, qualifies their request and files it in your CRM, at any hour. In an agency, requests come through a portal, the website, a form or a missed call, often in the evening or at the weekend. By the time someone checks the property and offers a slot, the buyer has contacted other agencies. The agent takes the repetitive part. Your negotiators keep the viewings and the negotiation.
02Workflows
Three workflows we set up in an agency.
Each workflow keeps a person in the loop wherever a mistake is costly. These are typical examples, not client projects.
01 / Questions on a listing
- Question on the site
- Answer from the sheet
- Negotiator if neededhuman approval
- Contact saved
The assistant answers from the property sheet (price, floor area, charges, energy rating) and hands over to a negotiator as soon as the question goes beyond it.
ToolsWebsite, property sheets, CRM
02 / Sorting portal leads
- Portal email
- Lead qualified
- Agent checkhuman approval
- CRM record created
Each request from a portal is matched to the right property, scored on the buyer's project (budget, timing, financing), then created in the CRM for the right negotiator.
ToolsListing portals, inbox, CRM
03 / Booking viewings
- Qualified buyer
- Slots offered
- Negotiator approvalhuman approval
- Viewing booked
The agent offers free slots from the negotiator's calendar, sends the confirmation and a reminder the day before. The negotiator approves before it goes out.
ToolsGoogle or Outlook calendar, email or SMS
A single linear workflow, such as lead sorting, is an AI automation. An assistant that answers on your listings and acts in several tools, with a test set, is an AI Sprint.
03Data
The data and the tools involved.
A real estate agent handles buyers' personal data: name, phone, budget, sometimes financing. We list it before writing any code, and keep only what the follow-up needs.
- Data
- Buyer contact details and project, property sheets, negotiators' availability
- Tools
- Your website, your listing portals, your CRM, your calendar
- Hosting
- Accounts in your name, EU hosting possible and planned in the quote
- GDPR
- Privacy notice on the form, retention period agreed with you, financing data collected only when it is needed
04Proof
A real case: Hoppy, for Hop Hop Immo.
Hop Hop Immo tracks new-build programmes in south-west France. We designed Hoppy, the site's AI assistant, which answers visitors' questions about those programmes. The lead sorting and CRM updates described above are not part of that project.

06Questions
Questions about AI in a real estate agency.
Book a callCan the agent plug into our portals and our CRM?
Usually, yes. Most portals send their requests by email, and the agent can read those emails. For the CRM, we use its API when it has one, otherwise a file import or a tool like Make. We check your tools during the call, before we put a price on anything, so you know what is possible.
Does the assistant replace our negotiators?
No. It answers the questions whose answer is on the property sheet, qualifies the request and offers a slot. As soon as a question needs an opinion, a negotiation or information missing from the sheet, it hands over to a negotiator, with the conversation history. Your team spends less time on the phone and more on viewings.
What if the assistant gives wrong information about a property?
It answers only from the data you give it, and says it doesn't know when information is missing. Before launch, we test it on real buyer questions. Every exchange is recorded in a log, so you can fix a property sheet or an instruction as soon as an answer isn't right.
